The spreadsheet is the symptom
Almost every company that reaches twenty people is running some critical part of itself out of a shared sheet. Orders, stock, applications, shifts, payouts, leads. It works, right up until it does not — and the failure is never dramatic. It is two people editing the same row, a filter someone left applied, a column quietly deleted in March, a number nobody can trace back to a decision.
The instinct is to buy a SaaS product for it. Sometimes that is right and you will be told so. But the reason your process does not fit any of them is usually that your process is the thing you are actually good at — and bending it to fit somebody else’s software costs more than building a tool that fits the process you already run.

- How much does a custom internal tool cost?

- Should I just use Airtable, Notion or a no-code tool?
- Often, yes, and you will be told so. No-code is the right answer while the process is still changing weekly, while the data is small, and while the people using it are the people who built it. It stops being the right answer when you need real permissions, when the per-seat pricing overtakes a build, when the automations have quietly become an undocumented system nobody can debug, or when a customer is ever going to see it.
- Can it use the data we already have?
- Yes — importing the existing spreadsheet or export is part of the build, not an extra. Getting the current mess in is usually where the interesting decisions are, because it is the first time anyone looks at what the columns actually mean.
- Who hosts it, and can we take it in-house later?
- It ships to your own hosting account on your own domain, and you own the repository from day one. If you hire an engineer in month six, they inherit a normal codebase with a normal database and no permission needed from us.
- Our process is unusual. Is that a problem?
- It is the reason to build rather than buy. Off-the-shelf software encodes somebody else’s process; a custom tool encodes yours. The brief conversation is mostly about which parts of your process are deliberate and which are just what the spreadsheet forced.
- Can it be added to a product you did not build?
- Usually yes. An admin panel bolted onto an existing database is one of the more common jobs here, and it is often the fastest way to stop engineers being interrupted to fix customer records by hand.
