That covers connecting the systems you already pay for — store, CRM, accounting, spreadsheets, email, WhatsApp — plus webhooks, scheduled jobs, data cleanup and reports that arrive on their own. It is the smallest thing the studio sells and frequently the one with the shortest payback.
The job is usually smaller than you think
A surprising share of what looks like "we need a system" is really two systems that do not talk. An order comes into the store and someone retypes it into the accounts. A lead fills in a form and someone pastes it into the CRM. A supplier sends a spreadsheet in a shape nobody can use. None of that needs a product. It needs a small piece of software that runs on a schedule and never gets bored.
This is deliberately the cheap end of the menu. If an afternoon of automation removes a weekly two-hour job, that is the highest-return thing on this site, and it is worth saying so even though it is the smallest invoice on it.
What this looks like in practice
- Two systems, one direction — orders from your store into your accounting, leads from your forms into your CRM, sales into a sheet the boss already reads.
- Notifications that reach a human — a WhatsApp or email alert when something needs a decision, with the context attached instead of a link to go and find it.

Where the honest answer is Zapier
If the connection you need is a standard one between two popular services, a no-code tool is faster and cheaper than hiring anyone, and you should use it. Custom work earns its money in three places: when the volume makes per-task pricing absurd, when the logic in the middle is more than a filter, and when it has to be reliable enough that nobody checks it.

Automations fail quietly, which is their one genuine danger — a job that stopped running in March is worse than one that never existed. Everything built here alerts on failure, and the monthly retainer exists mostly so somebody other than you is watching for it.

Questions people ask
- How much does it cost to automate a workflow?
- With Posteroids, $800 to $3,500. A single integration between two systems with error handling is $800–$1,500 and takes about a week; a multi-step workflow with scheduled jobs and notifications is $1,500–$2,500; a full pipeline with several sources, cleanup and automated reporting is $2,500–$3,500. Optional monitoring afterwards is $150 a month.
- Can you work with the software we already pay for?
- That is the whole job. Anything with an API — Stripe, Shopify, WooCommerce, QuickBooks, Xero, HubSpot, Google Sheets, Airtable, Slack, WhatsApp Business — and quite a few things without one. If a system genuinely cannot be integrated, you get told before anything is bought rather than after.
- What happens when an automation breaks?
- It alerts, and it alerts to a person rather than a log file nobody opens. Failed runs are retried where retrying is safe, and recorded where it is not, so the fix starts from what actually happened. Silent failure is the one outcome the build is designed to make impossible.
- Is this not just Zapier?
- Often it should be, and you will be told so — a standard connection between two popular apps at low volume is cheaper on Zapier than any build. Custom work wins on volume, on real logic in the middle, and when one of the systems involved is your own.
- Do you need access to our accounts?
- Usually API keys rather than logins, scoped to the narrowest permission that does the job, and issued by you so they can be revoked without asking anyone. What is needed is listed before it is requested.
- This feels too small to hire someone for.
- It is the smallest thing on the price list on purpose. A one-week job that removes a recurring two-hour task pays for itself inside a quarter, and it is frequently the first work a new client gives the studio.
